We are looking for a Front Desk Assistant with sales and/or customer service experience in a full-time (4 days a week) role to join our team. Toronto Arts Academy provides an exciting and supportive working environment where your professionalism, customer service, and attention to detail will be valued and appreciated.

You will assist with events, process admin tasks, and sell our lessons to potential new students/parents of all ages. You will join a supportive team of full-time front desk members working alone and in pairs as you assist our students, families and teachers between two locations with their weekly lesson schedules.

What is the Front Desk Role?

This role comprises of Customer service, sales, and admin tasks.  

SERVICE: You will be assisting current students both over the phone, and in person with their music lessons delivering exceptional and award-winning customer service! As we communicate with our students often by phone, we’re looking for that GOLDEN VOICE, that sounds amazing on the phone with a great tone and excitement for our customers. If anyone has told you that your voice should be on the radio, we’re looking for you! 

SALES: Registering new students, and doing follow up phone calls, all using scripts. An ability to be confident, and sell yourself as well as our services are important. You should also have a warm, bubbly personality, and familiar with working with a variety of personalities.

ADMIN: Other tasks involve: database entry, cleaning, communicating with teachers, staff and clients and interacting with customers.

A typical day includes:

  • Assisting current students both over the phone, and in-person with their lesson needs
  • Fostering relationships with parents, students, and other staff to create a fun and welcoming environment
  • Providing warm and upbeat customer service for our current students
  • Updating and communicating with teachers
  • Document and update records student database based on interactions
  • Develop and maintain a knowledge base of about how our lessons work
  • Managing student and teacher schedules, and upcoming events such as recitals. 
  • Answering phone calls, emails, and walk-in inquiries
  • Selling our lessons to potential new students inquiring
  • Registering new students and processing paperwork
  • Follow easy to follow administrative steps, systems and scripts
  • Troubleshoot and resolve minor issues and concerns
  • Take pride in being a part of our award-winning brand
  • Perform other related duties as required
  • Instrument playing is not required or preferred. We are instead looking for dynamic individuals excited to work in a growth-oriented company.

Job Requirements:

  • Availability is 4 days a week TBD.
  • While the above schedule will likely remain generally unchanged, flexible working hours are available and may be occasionally be required as business needs change.

  • Enjoy working with kids, parents, and creative adults, and watching them grow!
  • An ability to sell themselves as well as our offerings. Selling our school on the phone to potential clients is one of the most important parts of this position.

  • Your perspective and work ethic helps your team achieve their goals. 
  • You love to brainstorm with your fellow staff members for new ideas
  • You can think on your feet and work in a fast-paced environment
  • You are a pro at multi-tasking. You can efficiently complete projects even with unexpected changes

  • You dot the I’s and cross the T’s with your attention to detail
  • Your communication is clear and concise in an outgoing and friendly manner. You write and speak eloquently. You can explain just about anything to anyone in writing and verbally
  • You are proficient in time management
  • You have a great memory and are able to remember many details
  • Customer service and/or sales experience 
  • Providing quality customer service via phone and in-person
  • Familiar with Google Drive, Word, Excel, Zoom
  • Strong organization, planning, and analytical skills
  • A typing speed of 70 wpm or higher for our high email volume.

Our Toronto piano lessons build excellent musical foundations for students of any age. Many students learn piano more easily than other instruments, as its gentler on the fingers and hands & playing the right note on the piano is easy.

Our drum lessons are a great way to channel high energy and creativity! Playing the drums is one of the most exhilarating, and physically interactive instruments. As such, many high energy students find the drums a great instrument to learn as they can funnel their energy into it. 

Our guitar lessons provide an opportunity for students to learn the songs they love, and express themselves through this classic instrument! The guitar can be played in so many exciting ways.
